This section of our website and mobile application is designed to help you understand what we do with information about people, referred to as “personal data”. Because we process data differently depending on whether you are a candidate or an employer, we’ve divided this privacy information into a number of different sections, reflecting the different ways you might interact with us to help you get to the information you want quickly.

How does Hidden use a candidate’s personal data where they are registered on the Hidden platform?

When you sign up as a candidate on the Hidden platform, we will process your personal data for the purposes and in the ways set out below.

How does Hidden use my personal data to set up my profile?

To use the Hidden platform, you need to have a candidate profile that we can make available to employers. Some of this information is mandatory, some of it optional.

What personal data is used, and where is it obtained from?

We use the personal data you give to us when you first create your account, where you update your profile or where you ask our candidate success managers (the “CSMs”, each a “CSM”) to create or update your profile on your behalf.

Mandatory fields include your name, email address and city.

Optional: phone number, profile picture, work experience details, education details, salary information, CV, your job search preferences, as well as images, videos and description of your previous projects.

What is Hidden’s legal basis for this processing?

For mandatory fields, our legal basis for processing is contractual necessity. Without the mandatory personal data, we would not be able to offer you the service. We only use the optional personal data where you have asked us to include it by providing it to us.

For optional fields, our legal basis is our legitimate interest in displaying the data you ask us to on your profile. If you do not want us to display it, you can choose not to provide it.

Is personal data shared with anyone to achieve this purpose?

This personal data is shared with other users of Hidden when you agree to be put into an employer’s shortlist.
Personal data is also shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain this personal data until your account is deleted (which you can do yourself by following the instructions in the section below titled “How do I delete my account?”).

How does Hidden use my personal data to send and receive messages on the Hidden platform (including applications)?

When you wish to send a message via the Hidden platform, these messages will be sent automatically to the person in the Hidden team who has been allocated to you as your CSM.  Where necessary, it is the CSM who will ensure that any relevant information in these messages is passed on to an employer by way of a separate form of communication.

Equally, when employers wish to send a message via the Hidden platform, these messages will be sent automatically to the person in the Hidden team who has been allocated to the employer as their “Talent Partner”.  Where necessary, it is the Talent Partner who will ensure that any relevant information in these messages is passed on to you.

What personal data is used, and where is it obtained from?

Your name, account number and the contents of the messages sent/received by you/to you, all of which is obtained from you, other than the messages sent by an employer.

What is Hidden’s legal basis for this processing?

Our legal basis for processing, to the extent we retain the messages for you, is contractual necessity. Without processing your messages we would not be able to offer this functionality to you.

Where you delete your account and we retain this personal data in the employer’s inbox, our legal basis for processing is our legitimate interest in complying with our contractual obligations to the employer, and the employer’s legitimate interest in retaining historic correspondence.

Is personal data shared with anyone to achieve this purpose?

This personal data is shared with the other party to the correspondence, i.e. the employer you are messaging.
Personal data is also shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain personal data for this purpose until both: (a) you have deleted your account (or deleted the messages from it); and (b) the employer has deleted their account (or deleted the messages from it).

How does Hidden use my personal data to show me roles that it thinks will be of interest to me?

We use personal data to programmatically suggest roles to you that we think you might be interested in.

What personal data is used, and where is it obtained from?

We use usage metrics (e.g. which jobs you have applied for, viewed or rejected), your job search preferences, your current salary and your work experience. All of this information is obtained from you or is inferred from your activity.

What is Hidden’s legal basis for this processing?

Our legal basis for processing is our legitimate interest in increasing candidate engagement by showing them the roles which are mostly likely to be of interest to them, and your legitimate interest in seeing roles closest to the criteria you have given us.

Personal data is shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain this personal data for up to six hours.

How does Hidden use my personal data to match me to jobs?

We use personal data to manually match you to jobs that we think you fit the criteria for.
Your CSM or a Talent Partner will get in touch with you to discuss each opportunity. When you provide us with consent (verbal or written), we will add you to the employer’s shortlist.  By providing us with your consent to be added to an employer’s shortlist, you are consenting to your personal data being revealed to the employer.  Up until the point that you give such consent, your identity won’t be revealed to the employer and the employer will only have sight of an anonymous profile.

What personal data is used, and where is it obtained from?

We use the information contained in your full profile as well as usage metrics (e.g. which jobs you have applied for, viewed or rejected), your job search preferences, your current salary and your work experience. All of this information is obtained from you or is inferred from your activity.

What is Hidden’s legal basis for this processing?

Our legal basis for processing is our and employers’ legitimate interest in identifying candidates that match an employers’ searches to those employers, and the candidate’s legitimate interest in the employer considering them for roles.

Is personal data shared with anyone to achieve this purpose?

Your anonymous profile will be shared with employers, but your full profile will be revealed to them as soon as you consent to be added to an employers shortlist.

Personal data is shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain this personal data until the employer has made a decision on the shortlist provided

How does Hidden use my personal data to organise interviews for me and secure me an offer?

We use personal data to provide information to employers in order to set up interviews for you and in order to securing you a suitable offer.

What personal data is used, and where is it obtained from?

We use the information contained in your full profile as well as usage metrics (e.g. which jobs you have applied for, viewed or rejected), your job search preferences, your current salary and your work experience. All of this information is obtained from you or is inferred from your activity.

What is Hidden’s legal basis for this processing?

Our legal basis for processing is our and employers’ legitimate interest in allowing candidates an opportunity to interview for roles, and then also to enable employers to have sufficient information to make suitable offers for candidates they would like to hire, as well as the candidate’s legitimate interest in the employer having an opportunity to properly interview them and consider them for a role, and then make them an offer if they were successful with the interview process.

Is personal data shared with anyone to achieve this purpose?

Your full profile will be revealed to employers as soon as you consent to be added to an employers shortlist and therefore consent to be interviewed.

How long does Hidden keep personal data for this purpose?

We retain this personal data until the employer has made a decision on the shortlist provided.

How does Hidden use my personal data to send notifications to me?

We send push notifications and/or email alerts to keep you updated on roles you are interested in and with your interview processes.

What personal data is used, and where is it obtained from?

We use your device ID, email address and name. We obtain this from you (note that your device ID is provided by your phone in the background when you login to the Hidden app).

We also use the message content (i.e. the text of the email or push notification) that we generate and send to you.

What is Hidden’s legal basis for this processing?

Our legal basis for processing is our legitimate interest in notifying you when there is something that requires your attention on the Hidden platform, and your legitimate interest in being notified.

You can change your notification preferences by browsing to “Settings” in the app menu.

Is personal data shared with anyone to achieve this purpose?

Personal data is shared with our service providers, such as the companies that send push notifications and emails on our behalf.

How long does Hidden keep personal data for this purpose?

We retain personal data for this purpose for one year.

How does Hidden use personal data in its marketing materials?

Where you have given consent for us to do so, we use feedback you give in marketing materials (but we will only include your name if you allow us to on the form).

What personal data is used, and where is it obtained from?

We use your name and the feedback you give on your feedback request form.

Is personal data shared with anyone to achieve this purpose?

Personal data is shared with our service providers, such as the company that hosts our data collection forms.

How long does Hidden keep personal data for this purpose?

We retain personal data for two years, unless you withdraw your consent before then.

How does Hidden use personal data to invite you to Hidden?

Where we have spoken to you and you have agreed for us to, or asked us to, invite you to the platform (for instance at any event or where you have made an enquiry with us), we will send an email invite to you.

What personal data is used, and where is it obtained from?

We use your name, email address and location, all of which we obtain from you.

How long does Hidden keep personal data for this purpose?

We delete this personal data after 90 days, unless you create an account on the platform within that time.

How does Hidden use personal data to review your CV?

Our CSM team is sometimes asked by an employer to help find a candidate for a particular role. To find the right candidate, our CSM team will search our candidate database and review the CVs of candidates that match the employer’s criteria to decide whether or not to submit your CV for the role (with your consent, see “How does Hidden use personal data to submit your CV for a specific job?” below).

What personal data is used, and where is it obtained from?

We use your work experience details, education details, salary information, job search preferences, performance tracker data and your CV, which we obtain from you.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in identifying candidates for roles in order to meet our contractual obligations to our clients, and your legitimate interest in being considered for a role, given you have signed up for the platform.

Personal data is shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain this data until you delete your CV from the platform, or until your account is deleted (which you can do yourself by following the instructions in the section below titled “How do I delete my account?”).

How does Hidden use personal data to submit your CV for a specific job?

Our CSM team is sometimes asked by an employer to help find a candidate for a particular role. Where we identify you as a potential applicant, we will, with your consent, disclose your CV to the employer.

What personal data is used, and where is it obtained from?

We use your name, contact details and your CV, all of which we obtain from you.

Is personal data shared with anyone to achieve this purpose?

We share your CV with the employer.

Personal data is also shared with our service providers, such as the companies that host our website and related services for us.

How long does Hidden keep personal data for this purpose?

We retain a record that your CV was sent to an employer until you delete your CV from the platform, or until your account is deleted (which you can do yourself by following the instructions in the section below titled “How do I delete my account?”).

How does Hidden use an employer’s personnel’s personal data?

When you work for an employer signed up on the Hidden platform and have been given access to your employer’s Hidden account, we will process your personal data for the purposes and in the ways set out below.

How does Hidden use personal data to invite employer personnel to the platform?

When an employer signs up for the Hidden platform, they provide us with the contact details of personnel that should have access to the platform, and we email those people to invite them to create their account.

What personal data is used, and where is it obtained from?

We use the employer user’s name and email address, which we obtain from the employer.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in complying with our contractual obligation to our client (the employer), increasing uptake and engagement with the Hidden platform in order to drive growth, and our client’s legitimate interest in ensuring their employees are using the platform.

Is personal data shared with anyone to achieve this purpose?

Personal data is shared with our service providers, such as the companies that send emails on our behalf.

How long does Hidden keep personal data for this purpose?

We retain this personal data until your employer user account is deleted (which only your employer account administrator can do).

How does Hidden use personal data to create an employer user’s profile?

Once we’ve invited you to the platform via email (at your employer’s request), you are able to create yourself an account/profile.

What personal data is used, and where is it obtained from?

We use your name, email address, phone number (optional), profile picture and job title, all of which we obtain from you.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in complying with our contractual obligation to our client (the employer) by giving you access to the platform and our client’s legitimate interest in ensuring their employees are able to use the platform.

Is personal data shared with anyone to achieve this purpose?

Some of this information will be shown to other Hidden users on your profile page.

Personal data is also shared with our service providers, such as the company that hosts our website.

We retain this personal data until your employer user account is deleted (which only your employer account administrator can do).

How does Hidden use personal data to populate the “team” section of an employer’s profile?

The Hidden platform allows employers to show their team on their Hidden profile, including personnel that aren’t registered on the Hidden platform. Where the employer does so, we process personal data about people that are not Hidden users.

What personal data is used, and where is it obtained from?

We use the names and photographs of those employer personnel, which we obtained from the employer.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in complying with our contractual obligation to our client (the employer) and our client’s legitimate interest in promoting itself as a good place to work by introducing the team to candidates.

Is personal data shared with anyone to achieve this purpose?

Your name and photograph will be shown to candidates on the Hidden platform on your employer’s profile page.
Personal data is also shared with our service providers, such as the company that hosts our website.

How long does Hidden keep personal data for this purpose?

We retain this personal data until your employer deletes the photo or until the employer requests that the employer profile is deleted (at your employer’s request).

How does Hidden use personal data to help employers maximise success on the Hidden platform?

Our Customer Success team calls employer users periodically to ensure they are getting the most out of the platform, e.g. by providing useful tips or answering any questions to user may have.

What personal data is used, and where is it obtained from?

We use the employer user’s name, job title and contact details, all of which we obtain from you or your employer on your behalf.

What is Hidden’s legal basis for this processing?

We use your name, email address, city and any optional data you include on your profile, all of which we obtain from you.
We also use data we collect about your usage of the platform (e.g. what you have viewed, what you have applied to, and what you rejected) and your device ID.

Our legal basis is our legitimate interest in marketing our products and services to you by promoting engagement with the platform. We will always offer you the opportunity to opt out at the time your email address is collected, and on each email thereafter.

How does Hidden use personal data to tailor the display adverts you see whilst browsing other websites (including Facebook and Instagram)?

We target display advertising to you whilst you are on other websites (e.g. Facebook and Instagram) based on your usage of our website.

For instance, where we detect you have previously looked at a job in central London, we may target adverts for that job or other jobs in central London to you.

What personal data is used, and where is it obtained from?

We use cookies (small files placed on your device) and/or tracking pixels (very small invisible images embedded in our website pages) to link your device to activity on our website.
These cookies/tracking pixels are set by the relevant advertising network (Facebook, Instagram or Adroll) when we include their code on our website.
Hidden does not have access to any of the underlying personal data; the advertising networks simply provide us with the functionality to select the type of audience we would like the advert to be shown to.

How does Hidden use personal data to promote subscriptions, or additional/more advanced subscriptions, to employers?

Where an employer has registered for the platform, we may use their user’s personal data to contact those users about upgrading their Hidden subscription.

What personal data is used, and where is it obtained from?

We use an employer user’s name, email address, phone number, and job title, all of which we obtain from them.

We also usage metrics (for instance who you or your other employer users have messaged or responded to and how quickly you respond, and the number of jobs you or your other employer users have created).

We don’t collect postage address. Phone number is optional. Usage metrics for employers are just who they are messaging, who they respond to, how quickly they respond, when they create new jobs. Most of that is analysis of existing data, not collecting of new data if that makes sense.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in marketing our more advanced services to existing employer users.

Where marketing by email, we will always offer you the opportunity to opt out at the time your email address is collected, and on each email thereafter.

How does Hidden use personal data to market our services to prospective employer clients that are not already registered on the platform?

We use personal data to contact you about our service where you are an employee of a potential client. We use email, LinkedIn and telephone to do this.

What personal data is used, and where is it obtained from?

We use your name, telephone number and email address, which we obtain from you directly (e.g. via a call back/enquiry form) or indirectly via our sales team (e.g. where our sales team met you at a trade show).

We also keep records of attempts we have made to contact you, and notes about our correspondence with you (e.g. about what reservations you have, or questions you have asked).

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in marketing our products and services to new employers.

We may use your name and the action you took that triggered the issue or the need for action by our staff.

How does Hidden use personal data to correspond with you via email?

Where we correspond with you via email, including for instance with prospective employers enquiring about our service or with candidates that email our CSM team, we will process your personal data.

What personal data is used, and where is it obtained from?

We will process your name, email address and the contents of your email (including its meta data), which we typically obtain from you (e.g. where you have emailed us first, or have completed an enquiry form on our website).

Our legal basis is our legitimate interest in corresponding with you where you have emailed us or otherwise asked us to email you.

We do not keep personal data specifically for those purpose, but retain emails for 15 years in order to bring or defend potential legal claims (see below).

We may use any of the personal data we hold about you where it is relevant to us bringing or defending a legal claim (whether that claim is with you or a third party such as our employer).

How does Hidden use personal data to manage its relationships with other businesses, including paying them?

We treat data relating to sole traders and partners within a partnership as personal data. We may also process the personal data of employees of limited companies in our course of dealing with those companies.
We use this personal data to, for instance, communicate with that business about our or their goods/services, and to pay them where payment is due.

What personal data is used, and where is it obtained from?

We typically process your name, email address, job title, emails you send and receive from us, payments due to or from you (if a sole trader or partnership) and payments made to and receive from you (if a sole trader or partnership).

Hidden takes periodic backups of all of the personal data it holds, to ensure none of it is lost in the event of system failure or human error.

How does Hidden use personal data to analyse how its website is used?

Hidden collects certain personal data to analyse the way in which its website is used, for instance how many people visited, how long they visited for, which pages they navigated to and from where and their location.

What personal data is used, and where is it obtained from?

Whilst our analytics provider collects your IP address and other browser information for instance to recognise you as a unique user, Hidden only has a view of this data at an aggregated/anonymised level (e.g. 60% of users on a given day accessed Hidden from London).

Our analytics provider also collects metrics such as the pages you visited, how long you spent on them, how you reached our website, etc.

What is Hidden’s legal basis for this processing?

Our legal basis is our legitimate interest in analysing how visitors to our website use it so that we can improve the performance of our website, from both a technical and commercial perspective.

Is personal data shared with anyone to achieve this purpose?

We do not store or have access to any of the personal data used for this purpose, as it is collected by our analytics providers, Google Analytics or Squarespace, and provided to use in an aggregated/anonymised format.

How long does Hidden keep personal data for this purpose?

We retain personal data for this purpose for 2 years

Who we share personal data with

Internally, Hidden only grants access to personal data to those people that need access to that data to carry out their role.

Externally, Hidden may share personal data with third parties for specific purposes, as set out in the sections above. It may also from time to time share personal data with the following categories of recipients:
its service providers, for instance:
the companies that manage our IT infrastructure;
companies that provide us with cloud based IT systems, such as our CRM system; and
its external advisors, for instance IT consultants, accountants and lawyers.

Where we share personal data with service providers we will always ensure that the service provider is committed contractually to only use personal data in compliance with Hidden’s instructions and data protection law;
its regulators, law enforcement, HMRC and other government authorities, where they require us to do so; and

Transfers of personal data outside of the European Economic Area

Hidden generally stores and processes personal data inside the European Economic Area.
However, in some circumstances its service providers may transfer personal data outside the European Economic Area.

Where they do so, Hidden requires its service providers to do so in compliance with data protection law, typically either:
relying on a decision by the European Commission that the destination country is “adequate”; or
by requiring the supplier to enter into standard contractual clauses with us, which are approved by the European Union as providing equivalent protection to what would be in place had the personal data remained in the European Economic Area.

We can provide more information on the non-EEA countries to which we transfer your personal data on request.

How do I delete my account?

You can delete your account by emailing delete@Hidden.io from the email address used to register your account and requesting deletion of it.

Deletion requests can take up to 30 days to process, but we’ll send you an email confirming that your account has been deleted.

Please however note that we may keep some of your personal data where we have a reason to do so, e.g. to defend legal claims.

Your rights and how to exercise them

The law gives you certain rights in respect of the information that we hold about you.  Below is a short overview of those rights.

• Access.
With some exceptions, you have the right to a copy of the personal data that we hold about you.  We may make a reasonable charge for additional copies of that data beyond the first copy, based on our administrative costs.  Where the data is data that you have given to us, you have the right to receive your copy of it in a common electronic format, and to provide copies of it to other people if you wish.

• Correction.
You have the right to have the personal data we hold about you corrected if it is factually inaccurate.  This right does not extend to matters of opinion, e.g. the observations of our staff.

• Deletion.
In some limited circumstances, you have the right to have personal data that we hold about you erased (the right to be forgotten”).  This right is not generally available where we still have a valid legal reason to keep the data (for example, for security reasons or because we are obliged to do so by law).

• Objection.
You have the right to object to our processing of your personal data where we rely on “legitimate interests” as our legal basis for processing, but we may be able to continue processing if our interest outweighs your objection.

• Opting out of marketing.
You have the right to require us to stop using your personal data to send you marketing information. If you want us to stop sending you marketing information, the quickest and most efficient way is to use the provided “unsubscribe” links in our communications (although you can contact us direct if you prefer).

• Temporary Restriction.
You also have the right in some circumstances to request that temporary restrictions are placed on how we process your personal data, For example if you contest its accuracy or where we are processing it on the basis of our legitimate interest and you contest our assessment that our interest overrides your rights.

• Withdrawing Consent
If we are processing your personal data on the basis of your consent, you have the right to withdraw that consent at any time, in which case we will stop that processing unless we have another legal basis on which to continue.
